Mailchimp and Google Sheets (PRO)

With the PRO key, Mailchimp and Google Sheets are two more delivery channels. Connect the account once in RB Forms → Settings → Integrations, then turn the channel on in each form that needs it.

Mailchimp

Connect your account

  1. In Mailchimp, create an API key under your account’s extras.
  2. Paste it into Settings → Integrations → Mailchimp and click Save.

Set up a form

Turn on Mailchimp in the form’s Delivery tab:

  • Audience — the list that receives new subscribers
  • Email address from — the field with the address; by default The first email field
  • Double opt-in — Mailchimp asks new subscribers to confirm. Recommended in the EU, and on by default.
  • Merge fields — + Merge field connects a form field to a Mailchimp field such as FNAME
  • Tags (comma-separated) — tags for these subscribers

An existing subscriber is updated, not added twice.

Google Sheets

Sheets connects through a Google service account, a robot account of your own, so there is no OAuth app to set up.

Connect your account

  1. In the Google Cloud console, create a project and enable the Google Sheets API.
  2. Create a service account and download its key as JSON.
  3. Open Settings → Integrations → Google Sheets, paste the JSON into Service account key (JSON) and click Save.

The screen shows the connected account’s address.

Set up a form

  1. Create a spreadsheet and share it with the service account’s address, with Editor rights. This is the step people most often miss.
  2. Turn on Google Sheets in the form’s Delivery tab.
  3. In Spreadsheet (its address or ID), paste the spreadsheet’s link.
  4. In Sheet (tab) name, enter the tab, by default Sheet1.
  5. Click Check access to confirm the site can reach it.

Each submission becomes a new row with the date, the submission’s number and the answers. An empty sheet gets a header row first, from the field labels.

Whatever a visitor typed goes in as plain text and is never treated as a formula.

If you add fields to a form later, new rows follow the new order of fields, so check the columns of an existing sheet.

When a channel fails

Both channels follow the rules of the others: they are tried up to three times, and the submission shows the outcome. See When sending fails.
